This Privacy Policy sets out the rules for the processing and protection of personal data of persons using the website available at https://wirusologia.com.pl (hereinafter: the “Website”).

3. Scope and Purposes of Data Collection
Personal data is processed in accordance with the GDPR (General Data Protection Regulation).
A. Membership form (membership declaration): Through the form embedded on the page in the “Membership” tab, the Controller collects the following data:
- First and last name,
- Date and place of birth,
- Correspondence address,
- Telephone number,
- E-mail address,
- Professional data (name and address of the workplace, academic title/degree, position, education, profession, specializations).
Purpose: Maintaining a register of ordinary members of the PTW, pursuing the statutory objectives of the Society, and handling processes arising from membership in the PTW.
Legal basis: Voluntary consent of the data subject (Art. 6(1)(a) GDPR).
B. Contact form and e-mail correspondence: Data provided in inquiries sent to the address ptwirus@gmail.com or by telephone.
Purpose: Responding to submitted inquiries.
Legal basis: Legitimate interest of the Controller (Art. 6(1)(f) GDPR).
4. Data Retention Period
Members’ data: Stored for the duration of membership in the Society and, after its termination, for the period necessary for archival purposes and protection against potential claims (in accordance with legal provisions).
Data from inquiries: Stored for the period necessary to resolve the matter or until the limitation period for claims expires.
5. Data Recipients
Personal data may be transferred only to:
- Authorized employees and members of the PTW authorities.
- Entities providing technical services for the Website (e.g., hosting provider, form tools provider – to the extent necessary for the technical handling of the submission).
- State authorities, if such an obligation arises from legal provisions.
6. Rights of the Data Subject
Every person who has provided their data has the right to:
- Access the content of their data and obtain a copy of it,
- Rectification (correction) of data,
- Erasure of data (“the right to be forgotten”),
- Restriction of processing,
- Object to processing,
- Withdraw consent at any time (without affecting the lawfulness of processing carried out before its withdrawal),
- Lodge a complaint with the President of the Personal Data Protection Office (UODO) if they believe that the processing violates the provisions of the GDPR.
7. Transfer of Data to Third Countries
In connection with the use of tools such as Google Forms, data may be processed on Google’s servers. This company ensures an adequate level of data protection through the application of standard contractual clauses and compliance mechanisms provided for by international law.
8. Links to Other Websites (Useful Links / Conference)
The Website contains links to external sites (e.g., knowledge bases, sites dedicated to conferences). The Controller is not responsible for the privacy policies in force on those sites. We recommend reviewing the privacy policy of every website visited.
